Bookify Meetings

Share a link. Skip the back-and-forth.

Bookify Meetings gives you and your team a booking page people understand at a glance. They pick a time in their own time zone, and online meetings get a video link on their own.

No credit card needed. The demo needs no sign-up.

How it works

From sign-up to your first booking in three steps

  1. 1

    Create a meeting type

Name it, then choose how long it lasts, where you meet and who hosts. For example, a 30 minute intro call on Google Meet.

  2. 2

    Set your hours

Choose the days and times you take meetings. Connect Google Calendar so busy times stay off your booking page.

  3. 3

    Share your link

Send it in an email, add it to your website or put it in your signature. People pick a time and the meeting is booked.

The meeting types list, starting with Project intro, Creative discovery and Talk to our team, each with its length, kind, location and a Copy link button.
Every meeting type has its own link to copy and share.

Booking page

One page for every way people meet you

Your booking page lists your meeting types, and each one has its own link. Offer a few lengths and let people choose, ask a question or two before they book, and let them add guests.

  • Single-use links that stop working after one booking
  • Private meeting types you share only with the right people
  • Meet by video, in person, or let people choose

Meeting kinds

Built for one person or a whole team

Choose how each meeting type is hosted. Bookify only offers times that work for the hosts it needs.

One-on-one
One host meets with one person.
Group
One host meets with several people at once, up to the number of seats you set.
Round robin
Each meeting goes to one free teammate. The host with the fewest meetings goes next.
Collective
Several hosts meet one person together. Only times when every host is free are shown.

Routing forms and polls

The right meeting for every request

Some meetings need a question first. Others need a whole group to agree. Bookify handles both.

Routing forms

Ask a question or two first, then send each person to the right meeting type.

A routing form titled Find the right meeting, asking what the visitor needs help with and how big their team is.

Meeting polls

Offer a few times, let everyone vote yes, if needed or no, then book the time that works best.

A meeting poll titled Spring campaign kickoff with three proposed times, each with Yes, If needed and No choices.

Availability and time zones

Only times that really work

A time shows on your booking page only when your hours, the meeting type's rules and your calendar all allow it. Bookify checks again the moment someone books.

  • Weekly hours with breaks, plus date-specific hours and days off
  • Breaks between meetings, minimum notice, a booking window and daily limits
  • Busy events on your Google Calendar stay off your booking page
  • Invitees see times in their own time zone, on a 12 or 24 hour clock
Working hours of 9:00 AM to 5:00 PM on weekdays, in Toronto time.

For the people you meet

Easy for everyone you meet

No account to create. After booking, people add the meeting to Google Calendar, Outlook or Apple Calendar, and a link lets them reschedule or cancel without signing in.

  • You decide how close to the meeting people can still change it
  • Guests can load their own calendar file to see where they are busy
  • Booking pages fit phones, tablets and laptops

Reminders and follow-ups

Messages that send themselves

Turn on confirmations, reminders and cancellation notices by email or text, for your guests and for your hosts. Edit the wording so it sounds like you, and send a thank-you after the meeting.

Meeting workflows with Email and Text switches, starting with the guest booking confirmation, meeting reminder and cancellation notice.

Stay in control

Approve requests before they are booked

Turn on approval for any meeting type. Requests wait for you in Needs attention, next to polls that close soon and follow-ups you still owe.

  • See who you are meeting next the moment you sign in
  • Keep notes and follow-ups with each meeting
  • Add teammates as hosts, each with their own hours
The Needs attention list on the Meetings overview: one meeting needs approval, one single-use link expires this week, one poll closes this week and two follow-ups are open.

Video and calendar

Works with the tools you already use

Online meetings get their video link as soon as someone books, and your calendar stays in step.

  • Bookify Video is built in, with a room for every online meeting
  • Zoom and Google Meet links are created when someone books
  • Google Calendar keeps busy times off your page and meetings on your calendar
  • Charge for a meeting or take a deposit with Stripe
  • Send meetings to Zapier or any app with a webhook
Integrations including Bookify Video powered by Whereby, Google Calendar, Google Meet and Zoom.

Analytics and contacts

See what is working

Follow each meeting type from booking page visit to booked meeting. Private answers and calendar details are never included.

Meeting analytics for a sample agency: booking page visits, then times selected, booking forms started and meetings scheduled, with the conversion and the median time to book.

Contacts that fill themselves in

Everyone who books becomes a contact, with their company, their last and next meeting and how many times you have met.

The contacts list with each person's name, email, company and next meeting.

Questions people ask

Is Bookify Meetings free?

Bookify is free for our first 100 businesses, with the full product and no credit card. See the pricing page for the current details.

Do the people I meet need an account?

No. They pick a time, enter their name and email, and they are booked. The confirmation lets them add the meeting to Google Calendar, Outlook or Apple Calendar, and it has a link to reschedule or cancel.

Which calendars and video tools work with it?

Google Calendar keeps busy times off your booking page and keeps your meetings in sync. For video, Bookify Video is built in, and you can connect Zoom or Google Meet instead. You can also meet in person or add your own video link.

Does it work with Zapier?

Yes, with a webhook. Paste a webhook URL from Zapier, or from any app that accepts webhooks, and Bookify sends it every meeting that is booked, rescheduled or cancelled. In Zapier this uses the Webhooks by Zapier step, which needs a paid Zapier plan.

How do time zones work?

Your booking page shows times in each invitee's own time zone, and they can switch zones or choose a 12 or 24 hour clock. Your hours stay in your time zone.

Can my whole team share one booking link?

Yes. Round robin gives each meeting to one free teammate, and collective meetings bring several hosts together when everyone is free. Each teammate keeps their own hours.

Can I charge for meetings?

Yes. Set a price on a meeting type and connect Stripe. People can pay in full or pay a deposit when they book.

Can I approve meetings before they are confirmed?

Yes. Turn on approval for a meeting type and each request waits for you to approve or decline it.

What is in the live demo?

A private copy of Northstar Creative Studio, a made-up agency with sample meeting types, hosts, contacts and meetings. Open it as the organizer or as a guest. The demo never sends email or text messages, and it closes after 24 hours.
